Email Not Syncing Across Devices – POP3 vs IMAP Configuration
Issue Description:
If your email was previously configured using POP3, it may no longer sync with other devices or appear in webmail. POP3 downloads emails to a single device and removes them from the server, preventing access via IMAP or other clients.
Cause:
- POP3 removes emails from the server after downloading.
- IMAP requires emails to remain on the server for syncing across devices.
Solution:
Step 1: Backup Existing Emails (Optional)
Backup or export your emails from the POP3-configured device if you want to retain them.
Step 2: Remove the POP3 Account
Remove the email account set up as POP3. For example, in Outlook: File > Account Settings > Remove Account
Step 3: Reconfigure the Email Using IMAP
Set up the email again using IMAP for proper syncing across all devices.
IMAP SSL Settings:
- Incoming Server (IMAP): mail.yourdomain.com
- Port: 993
- Encryption: SSL
- Outgoing Server (SMTP): mail.yourdomain.com
- Port: 465
- Encryption: SSL
- Username: your full email address
- Password: your email password
Note: IMAP will sync all emails with the server, allowing access from phones, tablets, desktops, and webmail.
Additional Tips:
- If POP3 was set to “Leave a copy of messages on the server”, some emails might still be accessible on webmail.
- Login to webmail to verify current server-stored emails: https://webmail.yourdomain.com
