1. Introduction & Scope
Goal: To manually identify and remove emails older than a specific date (e.g., 7 years ago) using the Roundcube Webmail interface.
Scope: This guide is designed for users who do not have access to cPanel automated tools or prefer to visually verify emails before deletion.
Since Roundcube does not have a native "Auto-delete older than X" button, we will use the "Sort and Select" method. This ensures you only delete exactly what you intend to remove.
2. Service Transparency & Warning
Please read carefully:
- Permanent Data Loss: Deleting emails and subsequently emptying the Trash folder is permanent. These emails cannot be recovered unless a separate backup service (like JetBackup) was active prior to deletion.
- Performance Note: If you are deleting thousands of emails at once, Roundcube may pause or load slowly for a few seconds. Please be patient while the server processes the deletion.
3. Step-by-Step Guide
Part A: Prepare the View (Optional but Recommended)
To make the process faster, increase the number of emails shown on one page.
- Log in to your Webmail and select Roundcube.
- Click Settings (gear icon usually on the left sidebar).
- Go to Preferences > Mailbox View.
- Change Rows per page to
200or higher (max is usually 1000). - Click Save.
Part B: Sort and Delete
- Go back to your Inbox (or the folder you wish to clean).
- Look for the Date column header at the top of the email list.
- Click Date to toggle the sorting. Ensure the oldest emails appear at the top (you should see dates from years ago first).
- Click the very first email in the list (the oldest one) to select it.
- Scroll down the list until you reach emails from your cutoff date (e.g., 7 years ago).
- Hold down the Shift key on your keyboard and Click the last email you want to delete.
(This highlights all emails between your first and last click). - Click the Delete (Trash can) icon.
Part C: Empty Trash
- Go to the Trash folder.
- Click the options menu (three dots or gear icon) on the folder list footer, or look for Empty.
- Confirm that you want to permanently delete these messages.
4. Pro Tips for Faster Cleanup
Deleting in Batches:
If you have 10 years of email, don't try to delete 10 years at once. It is faster and safer to delete one year at a time (e.g., select all 2015 emails, delete, then move to 2016).
Search Filter Alternative:
In the Roundcube search bar, you can try typing a specific year (e.g., 2016). If the server supports it, this will list only emails from that year, allowing you to use "Select All" > "Delete".
5. FAQ
Q: Why can't I just click "Delete All Older Than"?
A: Roundcube is an email viewer (client). It does not natively have database automation tools like "Auto-prune". This protects users from accidental mass deletion.
Q: I selected 1000 emails and the browser froze.
A: Selecting too many items requires significant browser memory. Try selecting 200-300 emails at a time instead.
Q: Does this free up my quota immediately?
A: Yes, but only after you empty the Trash folder.
6. Summary
Maintaining a healthy mailbox quota is essential for receiving new emails. While cPanel automation is powerful, the manual Sort & Select method in Roundcube offers the highest level of safety, allowing you to visually confirm exactly which 7-year-old data is being removed before it is lost forever.
